Why every district should include UPS upgrades in next year’s Category 2 strategy

When districts prepare for the E-Rate cycle, attention naturally goes to the big-ticket items – switch upgrades, wireless refreshes, firewalls, cabling, and network security tools. But there’s a critical component that often gets missed:

Uninterruptible Power Supplies (UPS) and battery backup systems.

A UPS may not be the flashiest piece of equipment in your MDF or IDF, but when the power blinks even for a split second it becomes the MVP of your network.

Why a UPS Matters (Even If You Have a Generator)

A common misconception in schools is that a building generator makes UPS units unnecessary. In reality, they serve two very different purposes.

Generators take 10–60 seconds to start. During that window, your networking gear is vulnerable to:

• Abrupt shutdowns

A properly sized UPS provides instant, seamless power until the generator engages, ensuring:

• Continuous connectivity for classrooms

Not All UPS Systems Are The Same

There are several types of UPS systems, and choosing the right one depends on the environment and the sensitivity of your equipment:

Standby UPS
Basic protection for low-priority devices.

Line-Interactive UPS
The most common fit for K-12 closets. Automatically regulates voltage fluctuations and provides reliable backup power.

Online Double-Conversion UPS
Top-tier protection for servers, core switches, or mission-critical systems by isolating equipment from all power anomalies.

Regardless of type, the most important factor is proper sizing.
Your district should evaluate:

• Wattage requirements of each closet
• Runtime needed for generator startup
• Future network growth
• Load balancing across circuits

Oversizing wastes funding. Under sizing defeats the purpose.

Good News: UPS Units Are E-Rate Eligible

Many districts don’t realize UPS systems qualify for Category 2 E-Rate funding. Because they directly support internal broadband infrastructure, they are fully eligible – and often completely overlooked in planning.

Adding UPS replacements or upgrades is one of the most cost-effective ways to strengthen network reliability while maximizing your Category 2 budget.
